The Reports module transforms timecard, production, onboarding and location data into structured, filterable, downloadable outputs. Use it to review labor hours, piece counts, payroll data, and crew performance — all in one place.
User Access to Reports
Role Assignment: Users can be granted Full Access, Read-Only, or No Access to the Reports page based on their assigned permissions. Additionally, sensitive data is protected by functional restrictions; for example, if a user lacks Employee Compensation permissions, that data will be automatically hidden from their reports.
User Data Access:
Individual Users can be scoped to specific Employers, Employee Groups, Site Groups, and Crews. These restrictions are managed at the user level via the Users page. Once configured, users will only see data within the reports that falls under their assigned scope.
Report Templates vs Custom Reports
Reports is organized into two distinct layers.
PickTrace Reports (templates) Pre-built report configurations maintained by PickTrace. Each template comes ready to run with a default set of columns, groupings, and filters. You cannot permanently edit a template. To customize one, save a copy first.
Custom Reports (saved reports) Reports you build or save yourself. Every dimension is configurable — columns, filters, row structure, sorting, and more. These live in the My Reports and Organization Reports tabs.
The Four Tabs on the Reports Page

The Report Builder
When you open any template or saved report, the report builder appears in the left panel. A preview pane displays on the right.
The builder has six configuration sections, in this order:
- Title & Date Range — Set the report name and the date range to include.
- Filters — Narrow the dataset by employer, crew, employee, job, location, and more.
- Rows & Sections — Control how rows are created, grouped, and sorted.
- Column Filtering — Filter which rows appear based on the value of a specific column.
- Column Visibility — Choose which columns appear and in what order.
- Configuration — Control display, formatting, and output behavior.
How to Start a Report
- To run a pre-built report: go to the PickTrace Reports tab, select a template, set a date range, and click Preview or download.
- To create a custom report: open a template, configure it to your needs, then use the three-dot menu (...) at the top to select Save as Copy.
- To re-run a saved report: go to My Reports or Organization Reports, open the report, adjust the date range, and run it.
- Important: Saved reports do not remember the last date range you used. Every time you open a report — even a saved one — the date range resets to today. Set it manually each session, or set up a schedule.
Report Template Catalog
This section covers a of the 11 PickTrace-maintained report templates — what each one is for, what it shows by default, and common points of confusion.
What Templates Are
Templates are pre-built reports maintained by PickTrace. They appear under the PickTrace Reports tab. Each one comes with a default set of rows, sections, columns, and filters. You can run them as-is or save a copy to customize.
You cannot permanently edit a template. To make changes, open the template, adjust the settings, then select Save as Copy from the three-dot menu (...).
Avg Piece Rate Wage/hr Report
Shows piece rate performance per employee, organized by crew and date. Rows are sorted by performance per hour (descending). By default, this template filters to piecework timecards only.
Use it for: Evaluating daily picking performance. Typically run for the previous day.
Default columns: Date, Employer, Crew, Site, Location, Employee Alt ID, Employee Name, Job, Hourly Rate, Total Hours, Paid Hours, Regular Hours, Overtime Hours, Doubletime Hours, Pieces, Piece Rate, Unit Type, Wage Adjustment, Piece Pay, Gross Pay, Piece Rate Wage per Hour
Crew Summary Report
One section per crew; one row per day that crew worked. Summarizes crew performance over a period.
Use it for: Reviewing total hours, piece counts, and headcount by crew over a date range. To filter to a specific job, use the Jobs filter in the Filters section, then read the Total Hours column.
Default columns: Date, Crew, Site, Location, Pieces, Piece Rate, Total Hours, Head Count, Employee Name, Job
Employee Hours Report
One section per employee; one row per day worked. Shows how hours are distributed across paid, break, lunch, regular, overtime, and doubletime.
Use it for: Reviewing hour type breakdowns per employee over a period.
Default columns: Date, Employee Name, Employee Alt ID, Employer, Crew, Site, Location, Job, Total Hours, Paid Hours, Lunch Hours, Break Hours, Regular Hours, Overtime Hours, Doubletime Hours
Employee Roster Report
One section per date; one row per employee. Shows start and end time, total hours, and piece count.
Use it for: Attendance review and performance comparison within a crew on a given day.
Default columns: Date, Crew, Employee Name, Employee Alt ID, Total Hours, Pieces, Start Time, End Time
General Employee Information Report
Shows all employees terminated in the selected date range — not active employees. Despite the name, this template is not a general active roster.
Use it for: Reviewing terminations within a period.
Default columns: Employee ID, Full Name, Employer, Employee Group, Phone Number, Employee Alt ID, Last Check In, Last Location, Compensation, Hire Date, ReHire Date, Created On, Onboarded Date, Paycard Date
General Payroll Report
One row per timecard; one section per employee. The most payroll-complete template — includes hourly pay, piece pay, overtime, doubletime, wage adjustments, and gross pay.
Use it for: Payroll calculation and export.
Default columns: Site, Date, Employer, Crew, Employee ID, Employee Alt ID, Employee Name, Job, Start Time, End Time, Hourly Rate, Total Hours, Paid Hours, Lunch Hours, Break Hours, Regular Hours, Overtime Hours, Doubletime Hours, Pieces, Piece Rate, Unit Type, Wage Adjustment, Piece Pay, Hourly Pay, Gross Pay, Straight Pay
| Tip: If Location is missing from your General Payroll report, it is not in the default column set. Go to Column Visibility, search for "Location," add it, and drag it next to Site. Save a copy to keep the change. |

H-2A Hours Offered Report Report
One section per employee. Compares hours offered vs. hours worked for the selected date range. H-2A vs. non-H-2A status is set at the employee level — this report surfaces employees tagged as H-2A.
Use it for: Compliance reporting for H-2A contracted workers.
Default columns: Employee-level columns plus H2A Guaranteed Hours, H2A Offered Hours, H2A Work Hours, H2A Missed Hours, H2A Reason Missed, H2A Contract
Important Note on H2A Hours Offered Report: Hours Missed come from timecards tied to jobs in the No Show, Sick and Vacation job categories and represent opportunities when the employees could have worked but did not. You must create and assign timecards under these categories for the hours to show up as hours missed on the report.
Location Information Report
Reports on location and block metadata. This template pulls from location records, not timecards. It will show locations even if there was zero labor activity in the selected date range.
Use it for: Reviewing field/block attributes — crop, variety, acreage, organic status, planting dates.
Default columns: Site, Location Group, Location, Crop, Variety, Lot Number, Acreage, Mapped Acreage, Planted Date, Production Date, Growing Manager, Organic Status, Organic Certification Date, Organic Certifier
Scheduled Work Report
Outputs planned work from crew schedules. This template pulls from schedule data, not timecards — it shows what was planned, not what was actually worked.
Use it for: Reviewing crew work assignments and planned piece rates before or after a workday.
Default columns: Crew, Site, Location, Work Bundle, Job, Piece Rates, Pack Style
Timecard Break & Lunch Violations Report
Filters the dataset to surface break and lunch violations only.
Use it for: Compliance review and identifying employees who missed required breaks or lunches.
Default columns: Date, Employer, Crew, Employee Alt ID, Employee Name, Break & Lunch Violations
Timecard Status Report Report
Analyzes timecard statuses across your organization. Surfaces errors and warnings associated with timecards.
Use it for: Identifying timecards with data problems before payroll export.
Default columns: Date, Employee Alt ID, Employee Name, Crew, Site, Location, Job, Errors & Warnings
